Work Arrangement: Hybrid (50% in-office / 50% remote after training)

AccuStaff is seeking a detail-oriented Administrative Support Specialist to support our NY State Partner. In this role, you'll assist multiple public health programs by providing administrative support, data entry, customer service, and technical assistance to healthcare providers, schools, and the public.

Job Responsibilities

As an Administrative Support Specialist, you will:

  • Provide administrative and technical support to bureau leadership and staff.
  • Collect, distribute, and manage incoming mail and correspondence.
  • Enter and maintain data in multiple state databases and surveillance systems.
  • Review and process laboratory and communicable disease reports.
  • Assist with vaccine program administration and documentation.
  • Answer telephone inquiries from healthcare providers and the public, providing information or directing calls to the appropriate staff.
  • Process vaccine orders and communicate with healthcare providers regarding order accuracy.
  • Maintain provider enrollment records and update provider information as needed.
  • Verify provider demographics and assist with vaccine tracking activities.
  • Contact healthcare providers to obtain or verify required information.
  • Support New York schools with access to online immunization survey systems.
  • Contact schools regarding survey completion and respond to voicemail inquiries.
  • Maintain electronic records and databases.
  • Proofread reports, tables, and graphs for accuracy.
  • Schedule meetings and provide general administrative support as needed.
  • Serve as backup support for other office staff during peak workloads.

Qualifications

Minimum Qualifications

  • High school diploma or equivalent.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Strong computer and data entry skills.
  • Ability to prioritize multiple tasks in a fast-paced office environment.
  • Professional customer service skills and telephone etiquette.
  • Ability to work independently as well as part of a team.

Preferred Qualifications

  • Bachelor's degree or at least two years of office or administrative experience.
  • Experience working with databases or data entry systems.
  • Previous experience in healthcare, public health, customer service, or administrative support is a plus.
