Job Title: Membership Administrator
Location: Albany, NY
Salary: $50,000 – $60,000 annually
Position Overview
AccuStaff is seeking a highly organized and detail-oriented Membership Administrator for a respected nonprofit organization. This role is responsible for maintaining the integrity of the donor database, supporting fundraising operations, and ensuring accurate processing and acknowledgment of donations.
The Membership Administrator works closely with the Development and Finance teams to generate reports, manage donor records, and support membership engagement initiatives for a large donor base.
Key Responsibilities
- Maintain the accuracy and integrity of the donor management system, including managing membership renewal cycles for over 20,000 donors
- Process and record donations, including cash and electronic transactions
- Balance donation receipts and collaborate with the accounting department to complete monthly reconciliations
- Generate reports, lists, and analytics to support development and fundraising efforts
- Serve as the primary contact for routine donor and patron inquiries via phone, email, and in person
- Enter, update, and manage donor records while protecting confidential information
- Collaborate with the Chief Development Officer and Development team on fundraising campaigns and data analysis
- Train volunteers and oversee data entry processes to ensure accuracy
- Assist with donation web page updates and promotional materials as needed
- Provide occasional front desk coverage and assist with mail distribution
Qualifications
- Highly organized with strong attention to detail and ability to manage multiple projects and deadlines
- Experience managing databases or web-based systems (Allegiance Software strongly preferred)
- Strong problem-solving skills with the ability to work independently
- Knowledge of fundraising processes and donor relations
- Ability to prioritize work and handle multiple responsibilities in a fast-paced environment
- Associate’s degree in Fundraising, Nonprofit Management, or related field, or equivalent experience
Experience Requirements
- 1+ year of fundraising experience
- 2+ years of customer service experience
- 2+ years of database management experience
