AccuStaff is hiring Administrative Assistants to support the New York State Department of Health. In this important role, you will help administer New York's prescription monitoring and controlled substance programs while providing essential administrative support to protect public health and ensure regulatory compliance.

Job Responsibilities
As an Administrative Assistant, you will:
- Provide administrative support for New York State's prescription monitoring and controlled substance programs.
- Maintain electronic tracking systems and databases.
- Perform accurate data entry and quality control.
- Prepare and format documents using Microsoft Word, Excel, PowerPoint, and Outlook.
- Monitor shared email inboxes and draft professional correspondence.
- Answer incoming telephone calls, respond to inquiries, and direct calls as appropriate.
- Receive, process, and distribute incoming mail and fax communications.
- Print, scan, copy, and electronically file documents.
- Organize and maintain confidential electronic and paper records.
- Assist with controlled substance licensing processes for healthcare facilities.
- Support prescription reporting activities and prescription data management.
- Process healthcare facility requests and assist with regulatory documentation.
- Communicate professionally with healthcare providers, pharmacies, and other stakeholders.
- Help ensure accurate recordkeeping and compliance with state policies and procedures.
Qualifications
Minimum Qualifications
- Strong proficiency in Microsoft Office, including:
- Word
- Excel
- Outlook
- PowerPoint
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced office environment.
- Excellent written and verbal communication skills.
- Comfortable working with electronic databases.
- Ability to work both independently and collaboratively as part of a team.
- Professional demeanor when communicating with healthcare professionals and the public.
Preferred Qualifications
- Knowledge of healthcare organizations, including pharmacies, medical practices, and healthcare facilities.
- Experience using the New York State Health Commerce System.
- Previous experience working in a confidential or regulated government or healthcare environment.
- Prior experience supporting law enforcement, regulatory, or public health operations.
